ATO Car Expense Focus Puts Business Vehicle Finance Under the Microscope

Why record keeping, loan purpose and repayment planning matter before you buy

The Australian Taxation Office’s tax-time focus on work-related car expenses is a timely reminder that buying a vehicle for business use is not only a dealership decision.
For self-employed Australians, contractors and small business owners, the way a car is used, financed and documented can shape both cash flow and tax record keeping long after the keys are handed over.

The key point for borrowers is that the loan itself does not determine whether costs are deductible. Lenders assess serviceability, credit history, vehicle details and loan purpose, while tax outcomes depend on how the vehicle is actually used and what records are kept. A ute bought for trade work, a van used for deliveries and a passenger car used partly for client visits may all be treated differently depending on business use and evidence.

This matters when choosing between personal and commercial finance. A buyer who expects to claim business-related costs should think carefully about ownership, GST registration, invoices, logbooks, fuel records, servicing costs and how private use will be separated. For mixed-use vehicles, sloppy records can create confusion at tax time and may make it harder to understand the true cost of ownership.

Finance planning should happen before the purchase, not after it. A lower monthly repayment can look attractive, but a longer term, balloon payment or added fees may increase the total amount paid over the life of the loan. Before committing, borrowers should estimate repayments under different deposit, rate and term scenarios, then allow room for registration, insurance, maintenance and fuel or charging costs.

For small businesses, the bigger lesson is to align the vehicle, the loan and the paperwork. If the car is essential for earning income, lenders may ask for business financials, bank statements, tax returns, BAS, accountant details or evidence of ongoing contracts. Low doc options may be available for some applicants, but they still require a credible picture of income and affordability.

The ATO’s renewed attention also makes it worth avoiding rushed end-of-year buying decisions. A discounted vehicle is not automatically a smart purchase if it stretches cash flow or does not suit the work being performed. Buyers should compare the total cost of finance, check whether the loan structure matches their expected usage, and keep records from day one.

For anyone weighing up a work vehicle, the practical approach is simple: clarify the purpose, prepare documents early, compare finance options and seek tax advice where needed. Good finance is about more than getting approved quickly; it is about choosing a structure that supports the business after the first repayment falls due.
